Employees’ Privacy Policies

Since the company manufactures, sells and distribute a variety of different products that targets different market niche, the company developed a strict but flexible employee policy. As a result of the organization culture these policies where set in place:


Employees are required to present a positive image for themselves in a manner that will merit the continued trust of executive management, employees, customers and the general public. 


Employees must sign a non-disclosure to protect confidential information such as business strategies, product development, financial information and any other trade secret vital to the company success.


Employees should not make statement to the media concerning the company and its policies without clearance from the board of directors.


Personal evaluation, comments and personal data should not be shared with other employees or duplicated for unauthorized usage.


Employees who work in a phone free area is not allowed to take personal calls or text messages during working hours as a safety precaution.


All storage device issued by the company for work purposes are subject to retrieval at any time and employees must safe guard it from theft and misuse of information. 


SAP (System Application and Products) users password must be kept confidential and restricted information should not be shared or access by unauthorized persons.


Employees may use their email to send personal message, however other employee should not use another user account.



Social Media

As pertaining to the Use of Social media in regards to the employee privacy the organization states that employees are free to express themselves on social media but must consider these policies:

  1. Employees must not send or post messages or material that could damage the organization’s image.
  2. Employees must not send or post defamatory, discriminatory, harassing, or threating messages or image.
  3. Employees must not view or exchange pornography or obscene materials.
  4. Employees must not send or post chain letters, solicitations, or advertisement not related to the business purposes or activities.
In some countries and companies employees are to give their password of any social media to their employer and this hinder the rights of the employees.

Stated in the handbook employees must not use their phones (electronic devices on work site in case or preventing any danger that may arises). This can corelate to employers being concerned with the risks of employees using their social media at work.

Potentially dangerous risks may include:
  1. Data or confidentiality breaches
  2. Cyberattacks
  3. Time wasted as employees browse social networks on company time

Some employers often try to manage those risks by completely banning the use of personal mobile devices in the workplace. However, preventing the employees from using social media on company devices or their devices may not always work.

What employee’s post on social media can be both beneficial and detrimental for the company, however as mentioned risk still applies:

  1. Employees use their personal social media to demonstrate the poor management or working conditions.
  2. They post photos of company events, local volunteering efforts or even fundraising events.
  3. Share the companies’ sites and other related job activities that engages their customer and other potential customers.

Customer Policy




Customers’ Privacy Policies 

The organization is committed to provide the best customer service to all customers, since they are highly dependent on this department they strive to continuously improve their employees’ customer service. Employees are to be fair, reliable, accurate, consistent and provide high quality and honest service when handling customers queries.

To protect customers’ privacy the organization should:
  1.  Ensure that employees sign a confidentiality and non-disclosure agreement before gaining access to customer’s personal files.
  2.  Ensure that customer lists and customer preferences are well secured.
Information may be used to disclose to affiliates and others, for any purpose allowed by law. For instance, in order to:
  1. Evaluate request for a product or service.
  2. Process claims and other transactions.
  3. Confirm or correct information about customers.
  4. Preventition of fraud, money laundering, terrorism and other crimes.
  5. Comply with the law; auditing business.
When any information is disclosed for the use of company procedures, they are required to take appropriate steps to protect this information. This information must be used ONLY for the purpose of performing necessary business activities requested by law.
